How Tynevolt collects, uses, protects and removes personal information when you contact us, ask us to assess electrical work or use a Tynevolt Passport.

Who is responsible for your information?

Information we collect

Depending on how you contact us, we may collect your name, telephone number, email address, postcode or property location, preferred contact method, photographs, details of the requested work and subsequent correspondence.

If work proceeds, we may also hold quotations, appointments, invoices, certificates, test results, installation records and other information needed to complete and document the work.

Photographs submitted through the website

Photographs are used to understand the proposed electrical work, identify information we may need and decide whether we can provide an initial estimate or should arrange a site visit. A photograph does not replace inspection or electrical testing and is not treated as proof that an installation is safe.

Please avoid including people, personal documents, alarm codes, keys, vehicle registrations or valuable possessions unless they are genuinely necessary to explain the work. Only upload photographs you are entitled to share.

Tynevolt Passport

Where we create a Tynevolt Passport for completed work, we keep an internal customer record and create a separate property-focused record that can be opened using its unique QR code or web link. The customer-facing Passport may show the property address, work carried out, completion and future inspection dates, certificate references and documents or installation photographs that we attach to the Passport.

Your telephone number, email address and Tynevolt’s private internal notes are not included in the customer-facing Passport. However, an attached certificate or report may itself contain personal or property information. A Passport link is designed to be difficult to guess, but anyone who obtains or scans that QR code or link may be able to open the customer-facing record and its attached documents while the Passport remains active. Customers should therefore treat the QR code and link as property documentation and share them only with people who reasonably need access.

Tynevolt can archive a Passport to disable customer access if the record should no longer be available through its QR code. Contact us if you believe a Passport link has been shared inappropriately or should be disabled.

How we use information

  • To respond to enquiries and prepare assessments or quotations.
  • To arrange, complete, test and document electrical work.
  • To contact you about the requested work.
  • To issue invoices, certificates and reports where applicable.
  • To create and maintain a Tynevolt Passport where this forms part of the service.
  • To meet legal, tax, insurance, warranty and safety obligations.
  • To manage concerns, complaints or follow-up work.

Our lawful reasons

We normally process enquiry information because it is necessary to take steps at your request before entering a contract. Customer information may then be processed to perform our contract, meet legal obligations and pursue legitimate interests in operating, protecting and improving the business and maintaining useful records of work we have completed.

Storage and security

Website enquiries and Passport administration records are stored in restricted systems. Enquiry photographs and Passport documents are held in private object storage rather than a public website folder. Access to the administration systems is limited to authorised Tynevolt personnel. Customer-facing Passport information is delivered only when the unique Passport link is supplied.

We use technical and organisational controls intended to prevent unauthorised access, alteration, loss or disclosure. No internet service is completely risk-free. If you believe information sent to Tynevolt or a Passport record has been exposed or misused, contact us promptly.

Who we share information with

We do not sell personal information. We may use service providers for website hosting, secure file storage, email delivery, accounting and business administration. We may also share relevant information with certification or notification bodies, insurers, professional advisers, subcontractors involved in agreed work or public authorities where required by law.

How long we keep information

Enquiries that do not result in work, including uploaded photographs, are normally deleted within 90 days of the last meaningful contact unless there is a legitimate reason to keep them longer. If work proceeds, relevant customer, accounting, project, certification, Passport and warranty records may be retained for the periods needed to meet legal, tax, insurance, contractual or safety requirements and to provide a useful history of the electrical work completed at the property.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your personal information, or object to particular uses. Contact us so we can consider the request. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.

Other contact services

If you contact us through WhatsApp, Facebook, telephone or email, the relevant provider may process information under its own terms and privacy notice.

Changes to this notice

We may update this notice as Tynevolt’s services and systems change. The latest version will always be published on this page with its revision date.
